Overall purpose: Responsible for supervising, managing, coordinating and maintaining the operations of the building to ensure deliver professional services exceed the expectations of the customers, serviced apartment residents in terms of service and be responsible for the general office administration and management, position requires the supervision of others. Duties & responsibilities: - Supervise and negotiates with contractors on renewal of term contracts. - Supervise the outsourced contractors' performance (Security, Cleaning, Pest Control, Landscaping, Parking, Hygiene, etc…). - Assist Property Manager in organizing and arranging for the building activities such as fire drill and tenant engagement - Supervise employees and contractors. - Conduct formal site inspections of building interior and exterior. - Make reports and recommendations for incident, physical repairs and/or replacements. - Ensure observance of safety regulations. - Ensure that all tenants observed and perform their obligations as stated in the leases. - Hand over new premise to Tenant and take-over the premise after lease expiry and handle all lease administration matter in Property Management. - Perform move-in and move-out inspections of tenant premises. - Assist PM to develop annual property management plan and operating budget. - Review all daily operation logbooks, incident reports, minutes of meeting and monthly reports. - Supervise rent collection in accordance with policies and procedures manual. - Handle employee training, and control, and assures that all supervised employees comply with the appropriate policies and procedures. - Ensure property files and records are maintained. - Ensure management reports are prepared and submitted on time. - Attend the meeting and inspection of the government including fire police, local police, environment police, etc. - Record and attend to all tenant request, suggestion and complaints promptly and efficiently. Address the concerns of current and prospective customers in a friendly and professional manner. - Conduct safety talks with employees and contractors. - Maintain correct personal appearance and hygiene of all employees (operational and management) within the code of practice.JOB REQUIREMENTS
- At least 3 years of experience with similar role in Property Management or Facility Management - Bachelor of Business, Hospitality or Real Estate - Excellent communication skills (both Vietnamese & English speaking and writing) - Attention to details and a high level of accuracy - Excellent organizational and time management skills with the ability to multi-tasks - Good teamwork, analytical and problem-solving skills - Ability to handle and deal with difficult situations and complaints with “can-do” attitude.
