JOB DESCRIPTION

1. Offices Carry out all administrative tasks, IT & paperwork at the factory, comply with the Company policies and procedures and the Government's law. Photocopies, scans, archive, categorizes all legal, important and confidential documents. Follow up and update document when expired. Prepare all document, subcontracts, letters and announcements. Register new legal procedures necessary to ensure the operation of the company Arrange business travel and accommodation for staff and managerment. Coordinate and participate in office space/layout planning, maintenance and renovation when needed. Receipt all phones, official letters and documents, allowed to be dealt in authority Work directly with security services, company common asset management. Regular payment of fixed costs: rent, telephone, internet, electricity, water, transportation, visa, etc. Coordinate with other depts for teambuilding activities, workshops, meetings and outside activities as directed from managers Update & report monthly expenses. Participate in budget calculation. 2. Fire, Enviroment management, Inspectors. Perform visitor/inspector reception duties (Fire prevention inspector, Regional Police, Immigration Department, Environment ), address all general inquiries and attend to office security matters Establish and implement legal procedures, registered with the agency to ensure the safety of the employee List of fire tools & equipment, water sources at the factory. (To renew when required) Make a periodically checking sheet Organize a fire training & rescue plan Filling legal documents related to the fire system Advise and establish the company's fire fighting team, rehearse fire prevention Registered fire & explosion insurance Coordinate with other depts for inspection and maintenance the electric system Coordinate with other depts to prepare the documents, paperworks of ground resistance, lightning protection for the factory 3. Property managerment Maintain and re-order office supplies and other equipment as required Control people and property in and out of the company, ensure security and safety within the company Monitor the use of the company's property, prevention of losses, misuse and waste. Supervise and implement environmental protection in accordance with the company regulations and law Coordinate with the maintenance team to check and maintain the office machinery, equipment, workplace periodically 4. Labour safety managerment Establish and implement legal procedures, registered with the agency to ensure the safety of the employee Schedule annual health checkups for all employee Arrange for employees to attend all necessary fire prevention, labor safety training courses List all of the employees working in dangerous conditions to report periodically and have appropriate social welfare (if any) Ensure that the workplace meets occupational safety and health requirements pertaining to space, ventilation, dust, steam, toxic gas, radiation, electro-magnetic fields, heat, moisture, noise, vibration and other harmful factors as indicated in relevant technical standards. These factors must be checked and measured on a regular basis (if any) Prepare and submit periodical reports in accordance with the Law 5. For Foreigner staff Prepare necessary action needs for foreign employees such as invitations, visas, temporary residence cards, insurrance, work permits, driver's licenses, air tickets, transportation, accommodation, etc. Other tasks as assigned by manager Reports regularly to HR&ADM Manager 6. Assist HR works: Monitor the finger recording machine, annual leave and provide information as requirement To provide relevant employee information (e.g. leaves of absence, sick days and work schedules) for payroll, bonus. Coordinate with above managers and related departments to handle labor discipline when arising. Answer employees’ queries about HR-related issues. Implementing the personnel procedure: Offer letter, Concurrently; Dismiss; Bonus; Discipline... Prepare documents, announcements, letters, reports related to all scope of work and as required Other packages such as: Bao Viet insurance; bank account

JOB REQUIREMENTS

KNOWLEDGE AND SKILLS: Able to work under pressure to meet tight deadline and to handle multiple tasks Solid knowledge of office procedures Excellent organizational and time management skills Strong organization skills with a problem-solving attitude Hands-on experience with office management computer programs Able to converse properly in English EDUCATION, QUALIFICATION AND SPECIAL TRAINING: Bachelor in business administration, office management or relevant field EXPERIENCE: Minimum 3 years working as relevant positions PERSONALITY TRAITS: Honest, brave, enthusiastic Critical thinker and problem-solving skills Good attitude and team work sprit Attention to details
